How replies work
How Fast Does the AI Reply?
When a customer email arrives, the assistant replies automatically, at any hour. It never sleeps, so a customer who writes overnight, even at 3am, still gets a reply by email. HandleHQ does not publish or promise a specific response time.
That can be useful for businesses where customers expect a quick response. Customers can start a conversation without waiting until the next working morning. These are general advantages of automatic replies, not separate HandleHQ features.
What the reply does
The assistant replies to customer emails automatically, unless a customer has asked for a person or you have paused it on that conversation. It asks for missing details, recaps them, and creates a ticket once the customer confirms.
It is tested in English, Roman Urdu and Urdu. Other languages may work but are not tested or promised.
An automatic reply does not mean every answer is final or that a person never needs to review anything. As a general practice, review replies that involve important decisions, unusual requests or matters that need careful judgment.
What happens overnight
Customers can start a conversation outside your business hours. If someone emails at 3am, the assistant still replies and starts collecting the details.
The important difference is between the assistant’s reply and your follow-up. A reply can acknowledge the customer and begin gathering information. If a situation needs your approval, a specific promise or a more detailed decision, you can review the conversation before taking the next step.
What your team can do with the reply
Once the customer confirms the details, a ticket appears in your portal inbox. It carries the customer’s name, the request type, the details, and where relevant a budget and a timeline. It also has an AI summary, a headline and a drafted reply.
Each business type comes with guardrails. The assistant does not quote prices it has not been given, does not promise stock or availability it cannot confirm, and does not commit the business to anything.
You can review the drafted reply, edit it in the portal, then copy it and send it from your own email. This gives you a starting point while still letting a person improve the wording.
Practical advice for business owners
The quality of the assistant’s replies depends on the information your business provides and on your review. General good practice includes:
- Keep your stored business facts, such as hours, prices and policies, up to date.
- Think about the questions customers ask most often and store clear answers.
- Review important conversations involving complaints, sensitive information or unusual requests.
- Use the customer’s details and conversation history when deciding whether a draft needs editing before it is sent.
These are general customer-service practices rather than extra requirements from HandleHQ. They help make replies more useful and reduce the chance that customers receive information that does not match your actual policies.
The main point is simple: the assistant replies by email at any hour, even at 3am. It starts gathering information while you stay responsible for reviewing replies and following up.
