What Is Included in a HandleHQ Ticket?

A HandleHQ ticket brings together the customer conversation, collected details, and a prepared starting point for your team. The assistant asks the customer for any missing details, recaps them, and creates the ticket once the customer confirms. The ticket includes an AI summary, a headline, and a drafted reply.

What HandleHQ collects from the customer

The assistant asks the customer for whatever details are missing and recaps them before it creates a ticket. A ticket carries the customer’s name, the request type (Inquiry, Appointment, Complaint, New Project or Meeting), the details, and where relevant a budget and a timeline. The assistant is tested in English, Roman Urdu and Urdu.

As general business advice, useful intake questions should help a team understand the request, identify anything urgent, and gather the information needed to prepare a response. Examples might include a customer’s preferred contact details, the subject of the request, relevant dates, and the outcome the customer wants. These examples are recommendations for evaluating your intake process, not a statement that HandleHQ automatically collects every listed item.

If precise intake requirements matter to your operation, clarify them with HandleHQ before relying on a particular set of fields. Different businesses may need different information. A useful intake process collects what is needed to handle the request and avoids asking for information that has no clear purpose.

What you receive in the completed ticket

Once the customer confirms the recap, the ticket appears in your inbox.

Each ticket includes:

  • The details collected during the customer conversation.
  • An AI summary of the exchange.
  • A headline for the ticket.
  • A drafted reply ready for review.
  • The customer’s message exchange inside the ticket.

The full conversation is shown inside the ticket, so there is no need to switch apps or dig through threads. Your team can review the conversation and the prepared information together. As a general review practice, check whether the summary reflects the customer’s main request and whether the collected details are complete enough for your team to act.

The headline provides a concise label for the ticket. The exact wording may reflect what the AI inferred from the conversation. As a general team practice, make sure headlines are distinctive enough to distinguish similar requests during daily review.

A reply is drafted, not left blank

Each ticket includes a starting response. Alongside the summary, HandleHQ prepares a drafted reply. You can review the draft, edit it directly in the portal, then copy it and send it from your own email.

Treat the draft as a starting point rather than an automatic final answer. Before sending, your team can check that the reply:

  • Directly answers the customer’s question or request.
  • Uses only information you are prepared to confirm.
  • Clearly communicates any next step or uncertainty.
  • Matches your business policies, tone, and service commitments.
  • Does not promise pricing, availability, or outcomes that have not been confirmed.

Each business type comes with guardrails: the assistant does not quote prices it has not been given, does not promise stock or availability it cannot confirm, and does not commit your business to anything. These safeguards support your review, but AI replies can be wrong, so reviewing a drafted reply remains sensible when the answer carries a commitment or important detail.

How to use the ticket in your daily workflow

A simple review routine can make the included information easier to use. First, read the headline to identify the request. Next, compare the AI summary with the full message exchange. Then check that the collected details cover what your team needs. After that, review and edit the drafted reply before sending it.

Once the conversation is resolved, change the ticket’s status to Closed. Tickets move through four statuses: New, In review, Actioned and Closed. You can also set an assignee by typing a name and add internal notes, and on Growth, Premium and Enterprise the analytics page shows volume, outcomes, reply speed, request types, workload and backlog, so teams can organize follow-up according to their own process. As a practical division of responsibility, the AI prepares the information, while your team remains responsible for judgment and accuracy.
