Can I Use HandleHQ With Email?

Current channel availability

Yes. Email is the only live channel today. WhatsApp is the next channel HandleHQ is working on, and there is no launch date. Instagram and website chat are not yet available.

So you can start with email now rather than wait for another channel. You connect it yourself: the welcome email gives you your own HandleHQ address (ending in @in.handlehq.net) with Gmail and Outlook steps, and you forward the address your customers write to. No call and no code are needed.

Choosing the right email approach

As a general business practice, start by deciding which customer-facing address should receive enquiries. Your website, invoices, appointment confirmations and other messages may point people to different addresses. Before you start, check where those messages go and pick the address you want HandleHQ to handle.

It can also help to write down the kinds of questions customers commonly ask. Group similar requests into categories such as opening hours, availability, product information or service questions. This is general preparation rather than a HandleHQ feature. It shows you what your team already handles and which questions need clear answers.

When reviewing an email channel, think about your normal working day. Consider what happens when a message arrives outside business hours, when several customers write at once, or when a conversation needs a team member’s attention. These are general evaluation points for any business.

What HandleHQ does with email

When a customer email arrives, the assistant replies automatically, at any hour. It asks for any missing details, recaps them back to the customer, and creates a ticket once the customer confirms. It is tested in English, Roman Urdu and Urdu. Other languages may work but are not tested or promised.

You can store business facts such as hours, prices and policies in the portal. When a question closely matches a stored fact, the assistant answers with that fact. When nothing matches, the assistant tells the customer the owner will confirm.

Each ticket gets a short AI summary, a headline and a drafted reply. You can review and edit the draft in the portal, then copy it and send it from your own email. AI replies can be wrong, so it is worth checking them.

How to prepare before getting started

You do not need a complicated process. A useful starting point is to gather:

  • The address that should receive customer messages
  • Your normal business hours
  • Your current prices and policies
  • The subjects your team should not guess about
  • Examples of questions customers ask most often

Each business type includes guardrails. The assistant does not quote prices it has not been given, does not promise stock or availability it cannot confirm, and does not commit the business to anything.

HandleHQ has 30 pre-configured business types, and owners pick one in settings. The use-case pages cover examples such as clinics, restaurants, salons, couriers, pharmacies, gyms, tailors, guesthouses, car services, tutors and florists. If your business does not fit neatly into one type, write down the questions and policies that should guide customer conversations and mention it when you apply.

Applying and setting up email

You apply with a short form on the site. The founder reviews every application by hand and aims to reply within one business day. After approval, HandleHQ emails you a Stripe checkout link for the one-time $20 setup fee and your chosen plan with a 7-day free trial.

Payments are processed through Stripe. After payment your account is created and activated automatically, and a welcome email arrives with a set-password link and your forwarding address.

You then forward your business email to that address using the Gmail or Outlook steps in the email. No code is needed. As a general precaution, decide which questions must have reliable answers before you start, what your team should review, and how staff will check that replies match your policies.
