Can HandleHQ Be Used by a Solo Owner or a Team?
Short answer
Yes. The portal works for a solo owner today, and its tools also help a small team divide the work. You can set an assignee on each ticket by typing a name, add internal notes that only your team can see, and change a ticket’s status. These habits help whether one person handles customer conversations or several people share the work.
The number of team seats depends on your plan: Starter has 2, Growth has 5, Premium has 15, and Enterprise has unlimited seats. Seat counts are limits that apply once team invites ship; you cannot invite team members yet.
How a solo owner can use the workflow
If you run the business yourself, start with a simple approach. As tickets arrive, you can assign them to yourself to make ownership clear, even when you are the only person working on them. As a general practice, this helps separate work that needs attention now from work that can wait.
Internal notes can record context that should stay with the ticket rather than in your memory. Keep notes brief and relevant to the customer issue. You might record the decision made, information still needed or the next action. Keeping that with the ticket makes it easier to pick the conversation up later.
A regular look at your inbox also helps. You can filter tickets by status (New, In review, Actioned, Closed) and see who each ticket is assigned to and when it was last updated. When you are responsible for many parts of the business, small requests can pile up, and a quick review helps you decide what needs a reply now and what needs follow-up.
When two people work together
For a small team, the same workflow supports clearer responsibility. A typed assignee name shows who owns a ticket, and internal notes carry useful context from one person to the next. This gives you a consistent way to divide work and pass information between people.
Team invites are not in the portal yet. The Starter plan includes 2 team seats and Growth includes 5; these limits apply once team invites ship. When planning who gets a seat, think about who needs regular access to handle customer work. Assign seats according to actual responsibilities.
Before adding a second person, agree on simple working habits. Decide who will review incoming tickets, who will take action, and how unresolved issues will be handed over. A useful internal note explains the current status and next step rather than repeating the whole conversation.
These team habits are general recommendations. They fit the features the portal has: a typed assignee name and internal notes.
Planning for future growth
For a solo owner, it helps to start with a process another person could understand. Use clear ticket assignments, write short internal notes and review your open tickets regularly. Even if you are the only user at first, these habits make it easier to hand work over later.
As the team grows, think again about how work is divided rather than assuming everyone needs the same responsibilities. Internal notes can document handoffs, and a regular check of each ticket’s status, assignee and last-updated time can show whether one person is carrying too much of the queue.
Shared tickets, assignment and internal notes stay the same as more people join. That makes the process easy to explain to a colleague or a future team member.
