What Is HandleHQ?
HandleHQ is an AI customer-handling service for small businesses. When a customer email arrives, the assistant replies automatically, at any hour. It asks for any missing details and, once the customer confirms them, turns the request into an organized ticket for your team.
How HandleHQ handles customer messages
The assistant asks for whatever details are missing, recaps them back to the customer, and creates a ticket once the customer confirms. It is tested in English, Roman Urdu and Urdu. It replies automatically while it gathers the information your team needs to continue the conversation.
For a business owner, this can be useful when questions arrive outside normal working hours or when several people share the work of replying. In general, it is worth testing any customer-message tool against a few common questions from your business: What information does your team need? Which questions should be answered automatically? Which situations should be passed to a person? A clear list will make it easier to judge whether an assistant fits your process.
The assistant replies by email at any hour, including overnight. HandleHQ does not publish or promise a response time. Other languages beyond English, Roman Urdu and Urdu may work, but they are not tested or promised, so think about the languages your customers write in when deciding whether HandleHQ fits.
What your team receives
Once the customer confirms their details, the assistant creates a ticket. Every ticket includes an AI summary, a headline and a drafted reply. You can set an assignee by typing a name, add internal notes and change a ticket’s status: New, In review, Actioned or Closed. Growth, Premium and Enterprise also include an analytics page covering volume, outcomes, reply speed, request types, workload and backlog.
The drafted reply is intended to save time rather than replace review. You can review and edit the drafted reply, then copy it and send it from your own email, and because AI replies can be wrong, that review matters. In practical terms, your team can use the draft as a starting point, check the answer against your policies, and make any changes needed for that customer.
As general advice, start with a small set of actual customer questions when evaluating an assistant. Include routine questions, difficult questions, and cases where a human answer is essential. After using the tool, compare the responses with your service standards. The best setup is the one that gives customers timely help while keeping important decisions and exceptions with your team.
Business context and guardrails
You can store your hours, prices and policies in the portal. When a customer question closely matches a stored fact, the assistant answers with that fact, and when nothing matches it tells the customer the owner will confirm. A differently worded question may not match. You also pick your business type in settings, from 30 pre-configured types.
Each business type comes with guardrails. The assistant does not quote prices it has not been given, does not promise stock or availability it cannot confirm, and does not commit your business to anything. If a customer asks for a person, the assistant stops writing replies and answers further messages with a short notice that a member of staff will reply.
For any business, the information supplied to a customer-message assistant should be reviewed regularly. Keep hours, prices, policies, and service boundaries current, and make sure your team knows when a conversation needs special attention. General guidance is to begin with the questions and policies you are confident about, then expand only after checking the results.
